What data does SEBSL collect?

SEBSL collects the following data:

  • SEBSL is regulated by the Institute of Chartered Accountants in England and Wales (ICAEW).  This means SEBSL is required to carry out “Know Your Client” (“KYC”) due diligence as part of the process of you or your company becoming a client of the Company.
  • If SEBSL’s client is a company then it is the beneficial owners of that company for which KYC records are kept. If the client is an individual then KYC records are kept for that person. This means that the company holds both a paper copy and an electronic copy of a form of photo identification and a utility bill or similar document carrying proof of the relevant persons name and address.
  • SEBSL also keeps personal details, in particular, phone numbers and e-mail addresses of:
  • Corporate client beneficial owners
  • Corporate client staff with whom SEBSL is in contact in order to deliver its contracted services
  • SEBSL only collects personal data:
    • to the extent that it is required to by Regulatory bodies or by Statute
    • to the extent necessary to enable it to conduct its  business with you or your company, or the company that you work for

How does SEBSL collect your data?

You directly provide SEBSL with most of the data it collects. SEBSL collects data and processes data when you or your company:

  • become a client.
  • become a supplier
  • Contact the company by post, e-mail or phone.

 

SEBSL may also receive personal data indirectly in the event a third party contacts the company:

  • This may occur when SEBSL is working with other suppliers or advisers that you or your company uses to provide you with services or advice

How SEBSL uses your data?

Our Company collects your data so that we can:

  • Comply with Regulatory requirements of the Company’s regulator the ICAEW.
  • Work with you as a client or supplier, enabling us to deliver the services that we are contracted to deliver and to buy the goods and services that it needs to operate.
  • Comply with any statutory requirements that may be in place.

How SEBSL stores your data?

Our Company securely stores your data securely on a paper file in the Company’s registered Office, and also electronically on the Company’s computers which are kept at the company’s registered office. All information is password protected

 

Our Company will keep your personal data for as long as you are in active communication with the company and for a further 6 years after your last communication with the Company. With respect to personal information held as part of the KYC process this must be updated every three years. Again, your data will be retained for as long as you or your company is an active client and for a further 6 years thereafter. Once this time period has expired, we will delete your data from our computer records and incinerate paper copies of the information held

What are your data protection rights?

SEBSL would like to make sure you are fully aware of all of your data protection rights. Every client supplier or client’s or supllier’s staff that is in contact with SEBSL is entitled to the following:

 

The right to access - You have the right to request SEBSL for copies of your personal data. We may charge you a small fee for this service.

 

The right to rectification - You have the right to request that SEBSL correct any information you believe is inaccurate. You also have the right to request that SEBSL complete information you believe is incomplete.

The right to erasure - You have the right to request that SEBSL erases your personal data, under certain conditions.

 

The right to restrict processing - You have the right to request that SEBSL restrict the processing of your personal data, under certain conditions.

 

The right to object to processing - You have the right to object to SEBSL processing your personal data, under certain conditions.

 

The right to data portability - You have the right to request that SEBSL transfer the data that we have collected to another organization, or directly to you, under certain conditions.
